Role Description

People Management

Calendar Management

  • Provide strategic calendar management and time planning for executives (e.g., Senior Corporate Vice President, Executive Vice President). Own the calendar, meeting prep, and logistics based on business needs, ensuring constant communication with the manager and central staff. Leverage executive maturity and judgment to prioritize, delegate, and maintain a pulse on high-impact meetings and urgent needs. Collaborate closely with stakeholders such as Chiefs of Staff and HR, managing ambiguity and staying calm under pressure.

Cross-Functional Collaboration and Communication

  • Build and maintain strong internal and external networks to support your team and leader. Facilitate communication between executives, central teams, and partners, ensuring information and best practices are shared. Use business insights and discretion to prepare staff and communicate with external partners in line with the manager’s brand and core values.

Discipline Growth and Development

  • Lead and participate actively in the Business Support community, mentoring and onboarding new staff. Engage in career development and training, promoting growth opportunities for yourself and your team. Support recruitment efforts and foster a positive organizational culture by driving team-building activities and upholding morale.

Team Management Support (Headcount Management, Recruitment, Onboarding/Offboarding)

  • Lead team engagement initiatives, collaborate with Global Talent Acquisition (GTA) for recruitment efforts, and support intern and university recruitment. Manage onboarding and offboarding processes, ensuring a smooth experience for new hires and seamless executive onboarding. Partner with HR and finance on headcount management, keeping systems updated and identifying process improvements.

Event Coordination and Logistics

  • Plan and execute events, assuming full responsibility for outcomes. Collaborate with leadership to align event goals and aspirations. Manage resources efficiently, contribute to schedules and promotions, and lead event teams if needed.

Leadership

  • Serve as a role model for the Business Support community by demonstrating professionalism, executive presence, and calmness in challenging situations. Lead with maturity, proactively resolving issues to ensure team effectiveness and engaging with peers to drive community growth.

Project Ownership

  • Manage multiple complex projects from start to finish, maintaining operational excellence. Provide support to senior leadership, take accountability for project outcomes, and drive stakeholder accountability. Identify risks and communicate them to executives, streamline processes, and implement best practices. Delegate tasks to team members, ensuring successful project execution.

Resource Management (Hardware/Supply, Purchase/Expense, Financial)

  • Oversee expense management, including documentation, tracking, and compliance. Ensure alignment with company policies, resolve issues, and manage budget tracking. Partner with finance on budget planning, providing insights into team needs and priorities.

Rhythm of Business (ROB)

  • Partner with executive leaders to build and manage the annual Rhythm of Business (ROB), including fiscal year planning and executive meetings. Advise on patterns, develop best practices for confidential communications, and ensure teams follow the established cadence.

Space Management and Planning

  • Oversee space management, including desk assignments, conference rooms, and team space transitions. Handle escalations, manage group moves, and lead large-scale space requests. Plan future space needs based on utilization data and organizational changes.

Travel Management

  • Coordinate travel arrangements, including accommodations, transportation, and security. Create detailed itineraries, manage travel logistics, and act as a stand-by resource for issues during trips. Ensure travel documents are in order and communicate travel policies effectively. Provide on-site support when needed and manage compliance with travel policies.

Qualifications & Certificates

Required/Minimum Qualifications
• 7+ years of Administrative, Business Support, or customer service experience in an
environment with an emphasis on scheduling meetings/events, travel management, and
administration work for executive/upper-level management.
Additional or Preferred Qualifications
• Bachelor’s Degree in a relevant field (e.g., Business Administration, Human Resources [HR],
Marketing, Communications, Psychology, Sociology)
** OR equivalent experience.
• 4+ years experience serving as a mentor or direct/indirect (e.g., team leader) supervisor to
others.
• 5+ years experience reviewing and managing administrative budgets (e.g., for events,
morale, travel, training).
